Administrative Support Specialist

Location: Philippines

Work Arrangement: Work from home / Hybird

Work Hours: 12PM – 9PM MST, follows Philippine holidays

The Role:

The administrative support specialist supports the client’s executives and project managers with daily activities, including creating internal and external communications, preparing documents, and general office management and support. This individual has excellent communication and organizational skills for handling all the small details that keep the client’s business running efficiently and effectively. This is a technology-savvy and process-oriented individual with content management system or database experience who will help streamline processes and provide consistency in communications.

Essential Functions:

The essential functions include, but are not limited to the following:

Contact Relationship Management & Document Management

  • Update and maintain the client’s internal contact database

  • Draft client agreements and amendments

  • File agreements and client communications

  • Create and organize data through spreadsheets

  • Create and update reports using data from the client’s team collaboration tool

Marketing & Business Development Support

  • Research and validate leads online

  • Conduct data mining and lead generation

  • Complete content updates and improvements to skvare.com (publish blogs, update images, and categorize content)

  • Plan social media promotion strategies

  • Post and schedule social media posts, and maintain content plan and schedule

  • Respond to and moderate comments, messages, requests, and mentions on social media

  • Monitor and report site and platform analytics

Support Project Management Team

  • Support project managers to complete client projects and ensure project quality

  • Help project managers track project milestones, timelines, and deliverables

  • Develop testing scenarios and processes, and complete QA testing and documentation

  • Prepare training materials

  • Complete simple updates when needed

Qualifications:

  • Graduate of any 4-year course

  • Must possess 3 to 5 years related experience

  • Excellent grasp of all Microsoft 365 applications

  • Excellent verbal and written communication skills

  • Aptitude in data management, analytics and reporting preparation

  • Ability to function in an autonomous environment—independent worker, self-directed
