Onboarding Specialist

Location: Philippines

Work Arrangement: Work from home / Hybird

Work Hours: 8AM – 5PM CST, follows Philippine holidays

The Role:

The onboarding specialist is responsible for ensuring all new clients have signed paperwork, provided information for setup and the system is ready for processing the client’s payroll accurately and on schedule. The role’s responsibility is to ensure that payrolls are processed and produced on time for distribution to the customer. This role will ensure that they are current on all system and procedural changes to better assist the customer in converting their payroll to our payroll platform.

Essential Functions:

The essential functions include, but are not limited to the following:

  • Gather new client information, ownership structure, YTD reports, and employee demographic information
  • Complete and review new client setup documents for accuracy and completeness
  • Setup the system with the client-specific information for payroll prior to the first scheduled processing date
  • Train clients on how to onboard new employees and process payroll
  • Compile employee payroll data from timesheet files for processing hours and wages
  • Review hours worked, sales or piecework, commission, bonuses, salaries, and other pay records
  • Contact clients and answer questions regarding the client’s payroll via phone and email
  • Record changes affecting net wages such as exemptions, benefit coverage, and loan payments for each employee to update master payroll records
  • Resolve customer concerns relating to payroll, systems issues, and support resulting from our payroll processes.
  • Provide customer training on the system
  • Remain current with software changes, trends in the payroll industry, and changes in wage and tax law
  • Perform other duties as assigned

Qualifications:

  • Graduate of any 4-year college degree
  • Possess 2-3 years of payroll experience
  • Must be able to provide excellent customer service experience, and able to build lasting relationships with internal and external resources
  • Must have exceptional attention to detail
  • Must possess an analytical mindset with the ability to dig into details and draw insights from data to assist customers
  • Excellent grasp of all Microsoft 365 applications
  • Excellent verbal and written communication skills
  • Aptitude in data management, analytics, and reporting preparation
  • Ability to function in an autonomous environment—independent worker, self-directed
