Accounting Specialist

Work Hours:
8 AM – 5 PM or  2 PM – 11 PM Pacific Standard Time, follows Philippine holidays

The Role:

The Accounting Specialist will provide remote off-hour support for the accounting department activities to ensure accuracy and timeliness. This role will provide various support across accounts payable, receivable, general, and payroll reporting. This position will work closely with internal and external customers aiming to achieve a high level of customer satisfaction.  

Essential Functions:

  • Prepare weekly accounting reporting for A/R, A/P, and miscellaneous ad-hoc reporting 
  • Process new vendor and subcontractor qualifications and work authorizations  
  • Handle the data entry of monthly billing, bill classification coding, and auditing  
  • Assist with invoicing and monitor tracking 
  • Provide support for electronic file management, filing, and auditing 
  • Assist with accounts collection management; make initial calls/send emails and follow up as necessary 
  • Support payroll with certified payroll filings and sales commission calculations and communications to staff 
  • Provide customer assistance for insurance certification requests, updating resale certificates, supplying required vendor forms and vendor W-9s  
  • Assist with auto and fuel card tracking to ensure accurate postings; reconcile credit card postings 
  • Prepare state B&O tax filings  
  • Perform other audit and coding tasks in QuickBooks, as assigned  

Qualifications:

  • Associate degree or equivalent combination of education and experience 
  • 3 or more years providing general accounting, AR and AP support required 
  • Proficiency in QuickBooks required 
  • Knowledgeable with Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint)  
  • Solid attention to detail and problem-solving skills  
  • Excellent written and verbal communication skills, as well as the ability to identify and communicate issues, errors, and challenges to leadership 
  • Ability to prioritize and effectively manage workload 
  • Mindful of diverse perspectives and can engage clients in a professional manner 
  • Aptitude in data management, analytics, reporting preparation 
  • Ability to function in an autonomous environment—independent worker, self-directed
